To date, all tracking has been done on spreadsheets - both in terms of what is needed, and what donors have promised. I am considering using NetCommunity Event Registration as a potential way to capture what is promised by donors. The concept is that the In-Kind Drive would be an "event" that a donor could register for, and we would use Participant Attributes to capture the details of what they are promising to provide. This method would, at minimum, allow us to capture the donor information in advance (prior to drop off) and create a central location to keep track of what has been committed so that we aren't left short, or collect more than we can handle.
